A week in the life of an AWNA booking (by task)

Ad Manager / Scheduler - Deadlines
 
  • Because we promote a Wednesday deadline to clients, MOST insertions from AWNA will come on Tuesdays and Wednesdays for the following week (your publishing day, Sunday through Saturday, specified if you have more than one edition per week).
  • If your booking deadline allows, additional bookings may continue to come in up until your deadline.
  • You will receive an email link to the insertion order in the AWSOM Archive, there you can view details and acknowledge receipt.

Ad Manager / Scheduler - Online Runlist
 
  • A real-time view of the runlist within the AWSOM Archive, to provide a checklist of all ads that have been booked into your paper.
  • To be sure all bookings have been received at your end, we ask and require that the runlist be checked and acknowledged.  This step is critical.

Production Manager / Page builder - accessing material for bookings 
 
  • Ad material for AWNA bookings will be uploaded to the AWSOM Archive and attached to the corresponding insertion order.
  • Should your material deadline extend past Thursday, some clients will occasionally take advantage of the extra time.
  • Don't forget to pick up your Blanket Classified and Value Ads.

Production Manager /Page builder - trouble receiving your material 
 
  • If your ad material is not available online, by your posted deadline, contact us.

Production Manager /Page builder - clients mistakenly send you material  
 
  • If AWNA clients mistakenly send you material directly, please contact us immediately.  We will also request you forward the material to us for proper preparation and double-checks. 
  • Clients calling to confirm transfer information for material related to AWNA bookings should also be directed to us.

Production Manager /Page builder - what to do when ad appears to need adjustments
 
  • If the material does not fit the space booked for it or appears to need other adjusting, please DO NOT adjust it. 
  • Contact us immediately.

Production manager / Archive uploader - upload publication within 24 hours please
 
  • Within 24 hours of publication, AWNA members are to have their edition uploaded to AWSOM archive.
  • For details and instructions, contact us. 
  • Delays in archiving can delay payments.

Distribution Manager / Mailing - sending hard copies
 
  • Two hard copies of each edition are required by the AWNA office for bookkeeping, as well as colour checks.

Ad Manager / Tearsheets - responding to tearsheet request
 
  • If requests have been made by a client for additional hard copy tearsheets, please send them promptly.
  • Delays in receiving them will cause further delays in payments.

Ad Manager / Tearsheets - if you notice an ad did not run
 
  • If you discover that an ad has been missed (DNR-Did Not Run), please contact us immediately. 
  • In many cases prompt action can rescue the situation in time for the ad to be rebooked.  Either way prompt action restores customer trust.

Accounting & Accounts Receivable - weekly payment
 
  • Ads are paid based on the FINAL I/O amount, plus GST, you are due from AWNA.
  • Payment terms are bi-weekly, 60 days from the run date.

Publishers / Managers - notify us of changes we do not know about
 
  • The moment you know that something is changing that affects what clients are being told about your publication for their planning purposes, please contact us. This includes:
  • Closures (no publication for certain weeks).
  • Deadline changes (permanent or temporary).
  • FSI quantity requirements (different than your audited circulation and reported to clients as a separate number).
  • Format changes (columns/page depth changes).
  • Day of publication changes.
  • Key personnel changes, so we know who to communicate with.

Publishers / Ad Managers - want to know why a client booked by AWNA is not using your paper
 
  • If you believe a client booked by AWNA should be using your newspaper but isn't, please do not contact them directly.
  • Please contact the AWNA Display Coordinator or the Chair of the Advertising Committee.
